The Payroll & Accounting Specialist is responsible for performing a variety of duties that require multitasking abilities and the ability to interface with personnel from other departments. Daily tasks include all payroll related functions including all aspects of preparing and processing employee payroll through gathering and organizing all relevant documents for a multi-state payroll, ensuring compliance with all legal requirements including ACA, and general financial accounting support. This person must be highly organized, detail-oriented, and flexible with taking on new responsibilities.   Proficiency in MS Office and payroll experience required (IPS payroll experience a plus).

Primary Responsibilities:

  • Review and process weekly payroll for 300+ employees in multiple states
  • Process payroll updates including new hires, terminations, time tracking, merit increases, bonuses and special payments
  • Ensure ACA compliance
  • Paid Time Off tracking
  • Overtime reporting
  • Manage employee receivables and payroll deductions
  • Oversee 401k processing and reporting
  • General accounting functions to include

Assist with month end payroll accrual

Reconcile employee benefit invoices and deductions

Maintain updated files

Monthly closing and accounts payable support as needed

  • Serve as Notary
  • Sales/Use Tax filings
  • Other duties as assigned

Skills & Abilities: 

May be representative but not all-inclusive of those commonly associated with this position:

  • Microsoft Office proficiency, with advanced Excel skills
  • Minimum five years of payroll experience
  • Excellent analytical, multi-tasking, and mathematical skills
  • Ability to manage and meet strict deadlines
  • Strong knowledge and skills using payroll software, preferably IPS
  • Ability to communicate clearly and concisely with company associates and vendors
  • High level of organizational skills and attention to detail
  • Trustworthy with attention to confidentiality
